At Unicis.Tech OÜ, we respect your privacy. We do not collect any personal data that identifies you unless you voluntarily share it with us, and you retain full ownership of your data.

What Data Do We Collect?

We do not collect personal data automatically. We do collect anonymized, aggregate analytics data automatically when you browse our website or use the Unicis Platform, via our self-hosted Matomo instance. This includes:

• Pages viewed and time spent on them
• Clicks on buttons, links, and navigation elements (event tracking)
• Impressions and clicks on promotional content blocks (e.g. pricing cards, case studies, CTAs)
• Scroll depth on long-form pages such as blog posts
• Search terms entered in our documentation search

This data is anonymized (IP addresses are truncated/anonymized) and is not used to build an individual profile of you or shared with third parties for advertising purposes.

How Do We Collect Your Data?

We collect data in two ways:

• Automatically: anonymized usage analytics via Matomo (self-hosted), as described above, on both this website and the Unicis Platform.
• Voluntarily: information you choose to share via newsletter sign-ups, and contact, demo, or support forms.

How Will We Use Your Data?

Data you voluntarily provide is not used for any purpose other than the one you explicitly provide it for. You can unsubscribe from our newsletter or withdraw consent at any time. Anonymized analytics data is used solely to understand how our website and platform are used and to improve them — it is never used to identify you individually.

How Do We Store Your Data?

Data you share, and the anonymized analytics described above, are stored securely using self-hosted or trusted third-party services: Scaleway SAS hosted in EU.

• Listmonk – Self-hosted newsletter and email campaign platform
• Dolibarr – CRM, ERP, and billing system for customer, partner, vendor and subscription management
• n8n – Workflow automation for system integrations and process automation
• LimeSurvey – Open-source survey tool for EU project surveys and customer feedback
• FreeScout – Self-hosted support inbox
• Metabase – Business intelligence platform for platform subscription dashboards and reporting
• Fider – Open-source product feedback and roadmap tool
• OpenProject – Project and work package management
• Vaultwarden – Self-hosted password and secrets management
• Wazuh – Open-source SIEM and security monitoring
• IRIS – Self-hosted incident response management
• Unicis Platform – Used to manage MVSP and audit checklists, awareness, GDPR, and risk management compliance

• Xolo.io – Invoicing, tax reporting, and financial compliance (Estonia)
• Vimeo – Hosting for demo and product videos
• Wise – International banking and payment transfers

Virtual Private Server Providers

Our core services are hosted in trusted European data centers:

• OVH Hosting Limited – Server hosted in Germany
• Scaleway – Bare metal servers hosted in France and the Netherlands

Marketing

We use Matomo (self-hosted) for anonymous analytics, Listmonk (self-hosted) for newsletter and email marketing campaigns to generate leads and promote services, and Dolibarr (self-hosted) for invoicing, subscription and partnership management.

Support & Helpdesk

We use FreeScout (self-hosted) for open-source helpdesk and shared mailbox management.

Your Data Protection Rights

As a user, you have the following rights:

• Access: Request a copy of your personal data.
• Rectification: Correct inaccurate or incomplete information.
• Erasure: Request deletion of your personal data under applicable conditions.
• Restrict Processing: Limit how your data is processed.
• Object: Object to certain data processing activities.

We use cookies for the newsletter, contact form, and video playback, and Matomo may set first-party analytics cookies to support the anonymized tracking described above.
